Nobody can sign up to an existing workspace by themselves: people join Tandem App by accepting an invitation from an owner or admin. This guide covers the two ways to invite people, what they receive, and how to keep track of invitations that haven't been accepted yet.

Before you start

  • Only owners and admins can invite people, and they need two-step sign-in switched on first.
  • Your plan sets how many users you can have. Free has room for 3; paid plans have no limit and are billed per user. Invitations that are still waiting count towards the limit.
  • Guests are free, up to 5 for every paid user.

Option 1: invite from the admin pages

This is the best way to invite several colleagues or to give someone a particular role.

  1. Open Admin dashboard from the sidebar and go to the People tab.
  2. Click Invite people, then Invite person.
  3. Enter their email address and choose a role. Owners can invite owners, admins, members and guests; admins can invite members and guests.
  4. Under Add to channels, pick the channels they should join as soon as they accept. Public channels are listed, and private channels only if you created them.
  5. For a guest, choose their access in those channels and, if you like, the date their access ends.
  6. Send. They receive an email with a link to set their name and password.

Option 2: invite straight into a channel

Handy when you're setting up a project and want someone in that one channel.

  1. Open the channel and go to its People tab.
  2. Under Invite someone new, enter their email.
  3. Under Invite as, choose Member (team) or Guest (external).
  4. Click Send invitation. They land in this channel when they accept.

After sending, the invitation link is shown on the page once. If the email couldn't be delivered, you'll be told, and you can pass the link on yourself.

People who already have an account are added with Add someone on the same page instead.

Keeping track of invitations

All invitations are listed on the Invitations page in the admin pages, reached from Invitations, roles & audit log on the Admin dashboard. For each one you can see who invited them, when it was emailed and when the link expires. Use Resend if the link has expired or the email went astray (this replaces the old link), or Revoke to withdraw it.

When someone leaves

On the Admin dashboard's People tab, click Deactivate next to their name. They are signed out straight away and can't sign in until reactivated. Nothing they wrote is deleted, and deactivated people don't count towards your bill. Reactivate brings them back.

Inviting clients

Clients, freelancers and contractors are usually best invited as guests, who see only the channels you add them to. See working with clients as guests, and roles and permissions explained for what each role can do.
