Your workspace's content belongs to you, and you can take a copy of it whenever you like. Tandem App has two kinds of export: a full export of the workspace, for owners, and a personal export that anyone can download for their own account. This guide explains what each contains and how to get it.
Exporting the whole workspace
Only owners can export the whole workspace, and like the other admin pages it needs two-step sign-in switched on.
- Open Admin dashboard from the sidebar and go to Workspace settings.
- Scroll to Export your data.
- Leave Include the files ticked to get every uploaded file as well. The box shows how much storage that is. Untick it for a smaller export of just the data.
- Click Make an export.
The export is prepared in the background, so you can carry on working. Its line in the list shows Being made… and then a Download link with the file's size. Only one export is made at a time.
What's in the workspace export
A zip file containing, as JSON:
- everyone's accounts in the workspace,
- every channel's messages and thread replies, with reactions and polls,
- each channel's tasks,
- each channel's Docs,
- if you included them, the files themselves: both those shared in chat and those stored in Docs, sorted by channel.
Passwords, two-step sign-in secrets and API tokens are never included.
Polls that were anonymous stay anonymous in the export: it records the number of votes, not who cast them.
Direct and group messages are not included. They are private to the people in them, so not even an owner can export them.
How long the download lasts
Each export can be downloaded for 7 days. The list shows the date it is available until; after that it is marked Expired and the file is deleted. Make a new export whenever you need an up-to-date copy.
The zip holds your team's conversations and files, so store it somewhere secure and don't share the download.
Downloading your own data
Anyone, including members and guests, can download a copy of their own data:
- Open My account (your name at the bottom of the sidebar).
- Under Details, click Download my data.
You get a JSON file straight away with your profile, the channels and conversations you're in, every message you've written (direct messages included, since they're yours), and the messages you've saved and reminders you've set.
Before closing a workspace
If you're planning to Close this workspace, make and download a full export first. Closing signs everyone out, and everything in the workspace is deleted for good 14 days later. Until then it can be restored on request by contacting us, but don't rely on that as a backup. If closing was a mistake, get in touch as soon as you can.
